Policies, Terms and Conditions (ATL-TC1)

 

A)    Information

1.    Addlestone Toy Library (ATL) is a part of Addlestone Baptist Church. 

2.      Any person over the age of 18 in the South Runnymede Borough may become a member of ATL if they agree to abide by ATL’s policies, terms and conditions, as set out on this page.

3.    Up to date information on ATL membership fees is available on the ATL and ABC websites:

4.    ATL reserves the right to amend and update its Policies, Terms and Conditions at any time. 

5.    All items listed for lending remain the property of ATL and must not be sold or rehired. 


B)    Joining Addlestone Toy Library

6.     In order to join ATL, you will need to:

  • complete your membership details online via addlestonetoylibrary.lend-engine.com for your chosen membership.  
  • provide membership payment and identification containing proof of residential address (e.g. driving license, household bill etc.) upon first collection of toys. Membership will only be approved once identification and membership payment has been received.


7.    Payment for membership is ordinarily expected to be fulfilled through cash payments paid in full when toys are first collected.

8.    ATL will consider alternative methods of payment in extenuating circumstances and on a case by case basis. ATL reserves the right to accept payment of membership via alternative methods in its absolute discretion. 

9.    Members must notify ATL of any change of name, address or other contact details as soon as possible.


C)    Membership

10.    Standard membership is for a minimum of 365 days from the point of registration. No discount or refund is given for shorter terms or early cancellation of membership.

11.    As a condition of membership, members commit to being able to collect and return toys to ATL on the designated collection/return day(s) at the designated time(s), which will be specified and updated by ATL on its website from time to time. 

12.    Subject to availability, ATL membership permits the member to borrow up to three toys per month, for a maximum of 4 consecutive weeks per toy, unless otherwise stated. 


D)    Borrowing

13.    Members must reserve toys for collection online. On occasion ATL may be able to provide online facilities at point of collection. However, standard joining procedures, as set out in section B, would still need to be followed.

14.    Toys can only be checked in by ATL staff following a general inspection and inventory check of each return item.  

15.    Unless it has been reserved by another member, a member may request to extend the loan for a further 2 weeks, by emailing toylibrary@addlestonebaptist.org.uk.

16.    Borrowed items must be returned to ATL on the designated collection/return day(s) within the designated time(s) (or the earliest prior opening date if the return date falls on a public holiday). 

17.    For certain toys, a deposit may be required to guarantee the return of the item. This deposit is refundable upon return of the item in good order.


E)    Condition of items, loss and damage

18.    ATL make all reasonable efforts to list toys on its online catalogue faithfully, detailing the condition that they are in and what existing wear and tear they are subject to.

19.    ATL check items on their return for damage and clean the toys. 

20.    Batteries: where included, ATL make sure the batteries are working but cannot guarantee they will last the 4 week loan period. Members are not expected to replace batteries.

21. Members should check any borrowed items on collection and make ATL aware of wear and tear or faults that are significant and fall outside the description of the item on ATL’s online catalogue. If your child suffers from an allergy, ATL cannot be responsible for cross contamination of an allergen present on the toy and it is the borrower’s responsibility to do what extra cleaning is required.

22.    Subject to ordinary wear and tear (judged entirely at ATL’s discretion), items must be returned in the same condition as they were borrowed, clean and in a good state of repair. Toys and equipment are checked and cleaned upon return from hire.  

23.    ATL are aware that children’s toys occasionally get damaged. Members must report any loss or damage of a borrowed item to ATL straight away and as soon as the member becomes aware of the loss or damage, to addlestonetoylibrary@gmail.com. Members should provide photos of the damage where possible. A voluntary donation towards the cost of repair/replacement may be requested. On items requiring a deposit, all or part of the deposit may be withheld at ATL’s discretion in order to repair/replace the item.


F) Suspension of borrowing rights / termination of membership

24.    If the member has items that are overdue for return, or ATL believes loan items are not being cared for appropriately the member’s borrowing rights may be suspended or their membership may be terminated.  

25.    ATL reserves the right to suspend, terminate or re-admit members at its absolute discretion.

26.    No Membership Fee refund will be given.


G)      Responsibility for safety

27.    The member borrowing an item is responsible for ensuring that only children of an appropriate ability play with the toy. (Please note, suggested age ranges specified on the ATL website are for guidance purposes only) An assessment of the appropriateness of the toy to the child’s ability should be made by the member at point of collection.

28.    ATL is not responsible for any loss, injury or damage caused by or arising from any use or misuse of any toys borrowed from ATL.

29.    Members are referred to section [E] ‘Condition of items, loss and damage’ above and are reminded that they must inform ATL if they have any reason to believe that any of ATL’s items are, or may soon become, unsafe in any way. 


H)      Data Protection

30.     The information provided by members (past, present or prospective) to ATL will be processed in accordance with data protection principles as set out in the Data Protection Act 2018. 

31.    In summary, data will be processed only for the purposes of ensuring that ATL has records of its members required for the safe and efficient running of ATL, and communication with members in matters associated with the ATL. Members’ personal information provided to ATL will not be used for any other purpose unless legally required. Aggregated statistical data which cannot be traced back to members may be used for analysis and reporting.

Addlestone Toy Library (ATL) Privacy Notice for collecting contact information from registered members. 

The Charity Trustees of Addlestone Baptist Church as Data Controller can be contacted by ringing 01932 820709 or emailing dataprotection@addlestonebaptist.org.uk.

 

We are collecting information to enable the ATL to provide the lending service to its clients and to keep in touch with relevant information as appropriate.

 

Data Protection legislation allows us to process this information as we regard it as being in the ATL’s legitimate interest.

 

Your name, contact and membership details are entered into our database which is held securely on the ATL Website (addlestonetoylibrary.lend-engine.com) and, if opting in, on its associated email service (mailchimp.com). You can remove your email service consent at any time. Your contact details will be removed from the database and email service once you are no longer a member or connected to the ATL.

 

You have the right to ask to see any information we hold about you by submitting a ‘Subject Access Request’ to the Addlestone Baptist Church Secretary. You also have the right to ask for information which you believe to be incorrect to be rectified.

 

If you are concerned about the way your information is being handled please speak to our Data Protection Trustee. If you are still unhappy you have the right to complain to the Information Commissioners Office.
